Adding captions to photos in Microsoft Word is essential for clarity and context in documents, reports, and articles. Captions ensure your images are easily understood and professionally presented. Typically, Word makes it straightforward to group images and their captions so they move together seamlessly within your document. However, you might encounter a frustrating situation where you find yourself unable to group a caption with its corresponding image. This often manifests as grey squares on the caption box instead of the usual open circles, and attempts to group them simply fail.
This problem commonly arises due to Word’s compatibility mode. If your document was previously saved using an older version of Word and then opened in a newer version, it can trigger compatibility mode. In this mode, Word sometimes alters object types within the document. Specifically, captions, which are usually treated as “shape format” objects that can be grouped with images, may be converted into “text box” objects. Text boxes, unfortunately, cannot be grouped with picture format objects, leading to the grouping issue you are experiencing.
Fortunately, resolving this is straightforward. The key is to convert your document out of compatibility mode. Here’s how:
- Go to File: In your Word document, click on the “File” tab located in the top left corner.
- Select Info: From the File menu, choose “Info”. This will bring you to the document information screen.
- Convert: Look for the “Compatibility Mode” section. You should see a button labeled “Convert”. It’s typically a prominent square button featuring the Word logo. Click this “Convert” button.
- Confirm Conversion: Word will display a warning message informing you that converting the document might slightly alter the layout. Click “OK” to proceed with the conversion.
After conversion, Word will update the document to the latest format. Your captions should now revert to their default “shape format” object type. You can verify this by selecting a caption and observing the “Shape Format” tab becoming active in the ribbon at the top of Word. With captions back in the correct object format, you should now be able to easily group them with your images. Ensure your images are set to a text wrapping style other than “In line with text” (like “Square”, “Tight”, etc.) for grouping to function correctly.
